Budapest BankFacility ManagementIn their common offer agreed in an efficient, moving project favored by leadership, logistic, solution, Facility Management, which insures the moving processes, and all longer-term processes. The task’s manifold made it necessary, that apart from the moving firm let additional undertakings be connected with the work. This heavily increased the risk, since the main contractor had to be responsible for them. Because of the information and data protection it was important to sign an official secrecy contract with the bank. The preparations and the movingIn the course of the project planning a 1200 steps standing, project plan was drawn up. Unitis specialists prepared the machines for the transport, they were stopped, were supplied with marks, the cabling and the tying up was broken down and a freight list was prepared from them. Then the K2Trans Ltd.’s employees transported the machines to the ground floor, then the foil, wave cardboard, tying packaging came next and the PCS were put into carton boxes. The physical transport with a lifter rear wall lorry happened on pallets. The building protection being linked to the transports required separate attention. The edge protection of walls, stairs and equipments, elevators, the protection of wall-to-wall carpets demanded separate attention. The machines were placed on the designated tables of the site; the wrappers were transported from the office block. Unitis specialists followed with their work again, the machines were received on the new site, they were entered, placed into a position and they were test-run. In the interest of the transportation safety, all transport participant person from Unitis wore pinning. Unitis passed the participants' accurate data at the loading and bet sites, he made the participants obtain their police certificates, organized the following of the freight (according to a route motor vehicle building level room), the unique server machines and accessories observed it with unique labeling, prepared a room book from the servers and from other machines; drew up the freights ahead (what gets to which transport). The prime contractor developed a database and a barcode reading software module. They assured a lockable, heated and defended depository area as a temporary storage of devices and furniture, altogether cca. 4000 square meters . Staggering numbersThe moving came true in more beats, under 3 monthly time spans. It was typical that the moving tasks were possible only apart from working hours, on weekends, wasn’t possible of disturbing Budapest Bank's basic activity and not to cause any work stop there. The bank's high-performance servers were moved in 2 phases, took place under 3 weekends, in that manner, that it was necessary to insure the continuous operation serving the clients. We worked on E phase with partners like SUN, IBM, Compaq, EMC and HP. For the bank's and the colleagues' documents, records offices' substances and office technique equipments succeeded to move from 7 different depot on 5 weekends into a new headquarters. Until now managed to execute one of the largest moving in its sizes in Hungary . Typical of its data, that it was necessary to move 1200 colleagues with a full document substance and with some 1700 PCS. This meant approximately 100 cars transport. The quantity of the boxes was around 13000 pieces. This meant about 250 colleagues’ belongings, 300 information technology devices and roughly 10 boxes of document every weekend. Under the activity 10 consultants were available continuously from, 5-7 from Budapest Bank. These numbers were supplemented on transportation day with 20-30 loading workers and with 10-15 university students, who were mending the PCs. The moving process didn’t take an end with the colleagues' rehousing. It was supplemented with the task of the evacuation of the old buildings and its cleaning. In these office buildings the left belongings of the bank like furniture and other devices disused were transported into the depositories and store them until realization. The quantity of the furniture is not only the size of the depository, but the number of the transports, which attained the 200 in Budapest Bank's case. We could realize this task with a daily 10-15 turning and managed to do it less than twenty days, spending bigger energy on it many times, than on the transport of the PCs which was the most important task. Benefits and resultsThe customer's feedbacks showed that we managed to achieve the goals fully. An important result needs to consider, that Budapest Bank was able to concentrate its strengths to its own bank activity all the time and everybody could continue their work on the next day. The process in any moments could had been updated and modifiable. The ideas developed in the course of the moving were spotlighted because of this, they were not exceptions, everybody had to join the line. |
